Basic Purpose

To process requests for copies of Navy Federal and member financial documents and to ensure quality images are stored and destroyed in compliance with retention policies.


1. Fulfills requests for Navy Federal financial documents from internal and external sources. 
· Researches and locates daily business documents (e.g., copies of checks, drafts, statements, vouchers, etc.) using microfiche and microfilm stored at headquarters and offsite storage facilities
· Uses multiple files, databases, systems and image retrieval equipment to acquire and distribute imaged documents digitally or in paper form
· Processes and distributes exception requests such as rejected, back-office and missing items from existing microfilm, microfiche and daily business transactions to requesting parties
· Resolves and responds to urgent or time sensitive research requests caused by errors (e.g., system malfunction, employee error, missing documents, incorrect microfilm, incomplete order, etc.)
· Works with other Navy Federal areas (e.g., Mortgage, Credit Cards, Account Services, Field Operations, Data Control, Savings and Membership, etc.) to resolve issues such as missing and duplicate requests or requests with incomplete data

2. Ensures proper storage of all Navy Federal financial documents.
· Reviews microfilm from off-site processor to verify standards of quality (e.g., visual clarity, accuracy of film identification, and exactness of image)
· Verifies accurate labeling of film storage boxes and containers
· Coordinates destruction of daily business documents with Supply Branch in accordance with Navy Federal document security instructions
· Records a log of microfilm, as well as other stored media, and financial documents received from internal and external sources in accordance with Navy Federal Instructions
· Performs routine preventive maintenance on document storage and image retrieval equipment

3. Utilizes Navy Federal financial instruments and resources for research activities.
· Facilitates research of financial documents using financial instruments (e.g., miscellaneous non-government checks, recurring payments, etc.) in accordance with Navy Federal document security instructions
· Tracks research inquiries as well as individual daily production, and prepares production sheet used for branch reports
· Assists in resolving technical system issues that may be complex in nature and works with the vendor and ISD to successfully resolve in a timely manner
· Assists and participates in projects and testing system enhancements

4. Performs other related duties as assigned.



Level I:

* Clerical or administrative experience in an office environment preferably a financial institution
* Demonstrated ability to interpret and apply instructions, regulations and guidelines accurately
* Demonstrated ability to set priorities, exercise initiative and meet deadlines
* Strong attention to detail and ability to work accurately with numbers
* Working knowledge of PCs and software applications
* Effective interpersonal, verbal and written communication skills


* Knowledge and understanding of Navy Federal internal operations and organizational structure
* Experience working with retrieval and reproduction of archived documents to include Research and Delivery Systems
